POSITION SUMMARY:
The Medical Receptionist plays a vital role in the smooth and efficient daily operations of the clinic. As the first point of contact for patients and visitors, the Receptionist is responsible for delivering exceptional customer service and ensuring a professional and welcoming environment. This role requires strong organizational, clerical, and communication skills to support clinic operations and provide administrative assistance to healthcare providers.
RESPONSIBILITES:
- Professionally receive and direct all incoming telephone and voicemail communications.
- Greet patients and visitors in a courteous, welcoming manner.
- Validate health cards and update or obtain demographic and insurance information.
- Book and confirm appointments for physicians and specialists based on scheduling protocols.
- Handle patient registration and update Electronic Medical Records (EMR) as per clinic standards.
- Process payments (cash, credit, debit) and complete daily reconciliations, petty cash, and invoicing.
- Follow up with patients regarding missed appointments, outstanding payments, or further scheduling needs.
- Review, triage, and input incoming faxes, medical reports, and correspondence into the EMR.
- Prepare courier and mail items for scheduled pickups.
- Respond to email and telephone inquiries in a timely, professional manner.
- Actively participate in clinic meetings, programs, and improvement initiatives.
- Other duties as required.
QUALIFICATIONS:
- Diploma or certificate in Business Administration or Medical Secretarial Arts from a recognized community college.
- Minimum of 3–5 years of experience in a healthcare or medical office setting.
- Excellent communication and interpersonal skills, with a strong focus on customer service.
- Ability to manage sensitive patient information with discretion and uphold confidentiality.
- Strong organizational skills with the ability to multitask, prioritize, and work effectively under pressure.
- Proficiency in using electronic medical records and computer applications (e.g., Microsoft Office Suite).
- Professional and pleasant demeanor, both in-person and on the phone.
- Demonstrated ability to work independently as well as collaboratively within a team.
- Experience in handling high call volumes and fluctuating work demands.
