Sunday Receptionist - Woodbridge Medical Centre FHT

Position: Sunday Receptionist (Part Time) Status: Part-Time (2 Sundays/Month) – 8:45am to 1:30pm Compensation: $14.00-$16.00/hour Deadline: June 30, 2013 Anticipated Start Date:  ASAP
Position Summary: The Receptionist position is key to the smooth and efficient operation of the centre and is responsible for providing a professional and a positive impact when greeting patients and visitors and to ensure that the reception area runs smoothly and efficiently with effective use of organizational, clerical and customer service skills. Responsibilities:
  • Receive and direct all incoming calls via telephone and voice mail in a timely and professional manner
  • Patient encounters: greeting, validating health cards, obtaining demographic information
  • Greet patients in a welcoming and professional manner
  • Demonstrate exceptional conflict management skills, focusing on client/customer service at all times
  • Maintain Electronic Medical Records according to Centre requirements
  • Book patient and Doctor appointments
  • Complete data entry in a timely and accurate manner
  • Schedule consultations according to Doctors schedule
  • Follow-up on outstanding payments from patients as per centre standards and prepare receipts as required
  • Check/respond to emails in a timely manner
  • Receive and process payments from patients and complete daily cash balances/reconciliation, petty cash, debit & credit card transactions and invoicing patients
  • Directs and escorts patients to examination rooms, prepares rooms and patients for assessments, and tidy rooms after patient encounters
  • Assists with helping physicians with examinations
  • Relays patient concerns and information to appropriate member of the health care team
  • Cleans and stocks examining rooms and other designated areas with necessary supplies
  • Responsible for maintaining medical supplies
  • Cleans, sterilizes and maintains instruments and equipment as directed
  • Performs general service duties including preparing requisitions and samples to send to lab, reports, inventory control, confirm patient appointments, reception relief including; scheduling of appointments appropriately retrieving, opening and distributing mail, photocopying documents, and receiving, sorting and sending facsimiles, scans radiologic and consultant reports into the patient’s Electronic Medical Record (EMR).
  • Measures blood pressure, temperature, pulse and patient weight and height
  • Responsible for housekeeping duties as required (eg: Lauder patient gowns/sheets,  ensure patient washrooms are clean & stocked, clean kitchen)
  • Other duties as required
Qualifications, Skills and Experience
  • Community college diploma or certificate in Business Administration/Medical Secretarial Arts or equivalent working experience
  • Positive attitude, pleasant and professional manner in person and over the phone
  • Excellent problem-solving skills and demonstrated ability to work both independently and as a team member to achieve desired results
  • Excellence in customer service and exceptional verbal and written communication skills and interpersonal skills
  • Ability to maintain client and centre confidentiality
  • Strong applied knowledge in computer applications
  • Exceptional organizational, time management and prioritization skills
  • Ability to work well under pressure and handle difficult situations in a calm manner
  • Ability to produce high quality in accordance with centre standards
  • Demonstrated ability to complete general administrative duties as required
  • Must be able to handle work volume fluctuations
