Receptionist – Markham FHT

The Markham Family Health Team is now recruiting for Full and Part Time opportunities for: Reception Specialists: Position Overview The Reception Specialist position is critical to the effective functioning of the Family Health Team. They provide patients with appropriate and timely appointments with their doctors or inter-disciplinary health professionals. They ensure efficient, professional running of the office on a daily basis. The position requires excellent administrative skills and an ability to work in a fast paced environment that presents different patient needs on a daily basis. This position greets patients, takes patients to the exam room, completes all Physician and IHP required prep and completes all administrative follow-up post patient visits. Roles and Responsibilities Education and Program Involvement:
  • Educating patients of new programs when required.
  • Assistance with patient information mailings.
  • Provide administrative support for FHT programs
Organizational Support:
  • Front Desk:
    • Patient scheduling/rescheduling via phone call or after completion of patient visit.
    • Physician rescheduling due to vacation, illness, meetings, urgent care.
    • Patient check-in procedure ensuring correct up-to-date demographics, healthcard, etc.
    • Collecting any outstanding payments  owing
    • Processing collection of payments for shots, INR's, uninsured
    • Administration duties supporting assigned Physicians/IHP’s re messages, prescriptions, APS, forms, medical records.
    • Complete data analysis and report retrieval from EMR as requested from assigned physicians and IHP’s.
    • Retrieval, sorting and distribution of faxes, mail and work from the Physician / IHP’s action box.
    • Oversee overall flow of office.
  • Runner:
    • Prepare charts for CPX's, paps.
    • Do heights/weights for all CPX's.
    • Take patients to examination rooms.
    • Ensuring exam rooms cleaned and stocked appropriately.
    • Collection, testing and preparation of swabs and/or urines for lab processing.
  • Call Centre:
    • Schedule/cancel patient appointments.
    • Messages to physicians/IHP’s re questions, results, etc.
    • Transferring of calls to appropriate individual.
    • Monitor cancellation line.
    • Daily inputting and testing of pager for on-call physician.
Qualifications and Requirements Education Requirements - Minimum of Grade 12 education - Medical Office or related Administration experience preferred; applicable education preferred. Skills and Knowledge
  • Computer competency: Windows, all Microsoft Office programs, e-mail and internet research, fully understands the EMR system
  • Proficiency in verbal and written communications
  • 1-3 years previous working experience
  • Education in medical administration an asset
  • Problem solving and conflict resolution skills
  • High degree of accuracy and attention to detail especially when entering information into EMR system
  • Exercises good judgment and shows a willingness to take on new challenges
  • Works well in a team environment and works collaboratively with all team members
