Administrative Assistant-Clinical Programs POSITION SUMMARY: The Administrative Assistant, as a valuable member of the North York Family Health Team (NYFHT), is responsible for providing office and clerical services to the NYFHT Staff to assist in ensuring the efficient operations of the organization. KEY RESPONSIBILITIES:
  • Performs general clerical duties to include but not limited to photocopying, faxing, mail distribution and filing.
  • Receives, directs and relays telephone, fax messages and mail in a timely manner.
  • Welcomes and greets visitors in a professional manner, and supports the smooth operation and traffic through the clinic.
  • Coordinates scheduling of meeting room bookings and appointments.
  • Creates and modifies various documents using Microsoft Office.
  • Prepares meeting materials and assists with the development of PowerPoint and other presentations.
  • Maintains Outlook calendar(s) in current and accurate status.
  • Leads and/or assists in set up and coordination of meetings and other events as needed.
  • Leads and/or assists in preparation of agenda’s and accurately records minutes of meetings.
  • Assists with ordering and maintaining inventory of office equipment and kitchen supplies.
  • Arranges for repairs and maintenance of office equipment, when required.
  • Coordinates scheduling of meeting room bookings and appointments.
  • Maintains confidentiality of information.
  • Runs office errands as needed.
  • Other duties as required.
QUALIFICATIONS:
  • Minimum of two years of work-related experience in an administrative role.
  • Post-Secondary education in office administration or related field, or combination of work experience.
  • Able to multi-task, self-regulate and problem solve.
  • Good interpersonal relationships and demonstrated ability to work in a team environment.
  • Able to exercise independent judgment and discretion in dealing with confidential matters.
  • Proficiency in English, and strong communication skills, both written and verbal
  • Ability to work in a highly organized manner where detail, accuracy, urgency and confidentiality are critical.
  • Bachelor’s Degree is an asset.
  • High degree of proficiency in office procedures/bookkeeping, computer applications and technologies, including Microsoft Outlook, PowerPoint, Word and Excel.
